About the Job

The Virtual Assistant on the design team at Promarie will organize day-to-day operations, working with the wedding segment primarily, shepherding the operating cycle and calendar. You will be working closely with Marie on designs and design revisions as well as product creation and assembly. The position has the opportunity to be fully remote. Bonus if you have the ability to meet with Masha in person once every two to three months. 

What You'll Do

  • Work closely with Marie on designs, client revisions, assembly.

  • Help with ordering supplies, sit in on client calls.

  • Work in the CRM, answer emails.

  • Company Calendar: Organize, schedule, and maintain all key milestone meetings in the operating cycle, with a keen focus on seasonal product and commercial meetings, and recurring operating meetings.

  • Track and submit T&E expenses for Masha on a monthly basis, including processing consultant invoices and fees.

  • Be an extension of the brand and Masha at all times. Deliver excellent candidate and 3rd party partner experience with every interaction - email, call, scheduling, on-site visit, and close-out.

  • Contribute to key commercial events - sidewalk sale, cyber week, support retail team as needed.

  • Be a brand ambassador and bring the Promarie core values to life every day.

What You Have

  • Interest in design, retail, creative/agency, hospitality, or physical products sales/distribution.

  • Capable project manager.

  • Proven ability to proactively manage and prioritize activities, calendar, and deadlines.

  • Experience using Adobe Suite is a plus.

  • Experience using Dubsado is a plus.

  • General understanding of business operations from the end-end.

  • Intermediate to advanced Mac/PC skills - spreadsheets, decks, calendar.

  • Strong organizational skills, ability to work with tight deadlines, bias toward action - a sense of urgency.

  • Setting up and maintaining an effective filing and organizational system.

  • Great communication skills in conversation and in writing, including great listening skills.

  • High integrity and strict confidentiality at all times.
